Since the release of Vault 2021, we have an additional permission which controls the ability to download files, this gives an added layer of security around the control of your files. Users who are blocked from downloading files will not be able to perform functions like Copy Design, Get, or Pack & Go.

The Download Restrictions are available at either the Lifecycle state, Folder level or Individual files. While you can set the restrictions at a file or folder level it is probably best to set these at the Lifecyle State, unless in very particular circumstances. Either way, setting this up will require administrator rights.

Lifecycle state settings can be found by going to Tools > Administration > Vault Settings, and navigating to the Behaviors tab. Once here select Lifecycles…

In the Lifecycle Definition window, select the lifecycle which you would like to adjust, and select Edit.. at the top.

You are then taken to the Lifecycle Definition window of the selected Lifecycle which allows you to edit its settings. Select the Security tab in the lower left corner where you can Allow or Deny the ability to Download. This can be set for Individuals or Groups.

Folder and File level security are set in very much the same process as each other. Right click on the Folder or File you wish to control the access of, then select Details… Once in the details window, you can check Override which will allow this setting to override any State or other manual security setting you may have set up. From this window you will need to Add users or groups to the permissions list and choose to Allow or Deny their ability to Download files.

Note that by default Everyone will be allowed access to this, so you will need to remove this from the permissions.

Any users who try to download the file for any function will get the below message.
